ScadCo takes the privacy and protection of personal information very seriously. As a school management software provider, we are committed to ensuring the privacy and security of the personal information of our customers in accordance with the Protection of Personal Information Act (POPIA) and other applicable data protection laws.

We collect only the personal information necessary for the provision of our services. This may include:

  • Name, username, email address, phone number, profile picture, school affiliation, and location.

  • Data displayed on the Scadsys portal, including profile pictures, names, learning and behavior notes, attendance records, and contact details.

Each school using our services is responsible for implementing adequate technical and organizational measures to protect this information. ScadCo shall not be held liable for breaches resulting from misconduct by the school or its employees.

We have implemented physical, technical, and administrative safeguards to protect personal information. Our security measures include:

  • Data encryption and secure socket layer (SSL) technology.

  • Hosting in a Tier 3 data center behind an industry-standard firewall.

  • Restricted access to personal data only to authorized personnel.

While we take all reasonable precautions to protect data, no system is completely secure. In the event of a security breach, we will take immediate action to mitigate risks and notify affected users as required by law.

For users under 18 years of age, we require verifiable parental or guardian consent before collecting or processing personal information. Schools using our services are responsible for obtaining this consent before providing student data to the Scadsys platform.

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected and to comply with legal obligations. Once the retention period expires, data will be securely deleted within [X] months unless required for lawful purposes.

Customers have the right to:

  • Access, correct, or delete their personal information.

  • Restrict processing or object to the use of their personal data.

  • Request a copy of their personal information at no charge (except in cases of excessive or unfounded requests, where a reasonable fee may apply).
